How to Become an Approved Equipment Vendor for Aramco

Most rental work at Aramco sites flows through contractors, but they all ask the same question first: are you registered, and are your documents in order?

If you want to rent equipment to Aramco projects, there are two routes. You can register as a supplier with Aramco itself, or you can work as a sub-supplier to the contractors who hold Aramco's contracts. Many rental companies do both. This guide sets out Aramco's published registration route, the documents a Saudi-based supplier prepares, and what an equipment rental company should add so contractors can approve it quickly. Registration does not guarantee business, but unregistered suppliers are rarely considered.

The registration route

Saudi-based suppliers register through Aramco's e-Marketplace platform, and the Dhahran office handles these registrations. The process has three parts: choose the route for your location, submit the registration questionnaire, then complete qualification. Requirements and process vary by supplier type, such as material vendor, manufacturer or service provider, so choose the category that matches what you will provide.

Documents Saudi-based suppliers prepare

GovernmentCommercial Registration, Zakat, VAT and GOSI certificates, Civil Defense licence or equivalent, Chamber of Commerce membership certificate. Service providers may also need a Contractor Government Classification.
AramcoSigned Supplier Code of Conduct acknowledgement, bank letter, Company Ownership Profile with supporting documents, Authorized Signatory Letter, Jadeer certificate for SMEs where applicable, and a Cybersecurity Compliance Certificate.

What rental companies should add

Contractors will also ask for fleet details and equipment documents: SASO conformity certificates, accredited inspection certificates, load charts, operator and rigger competence evidence and your HSE approach. Aramco's page does not set timelines or specific ISO expectations, so check Aramco's Doing Business guide and ask your contractor client what they need. Keep an equipment register that lists each machine, its certificate numbers and expiry dates, so you can send a vendor pack within a day.

In-Kingdom Total Value Add (iktva)

Aramco's iktva programme aims to build supply-chain value inside Saudi Arabia, and it shapes how suppliers are scored. Keep records of local spend, local employment and local sourcing from day one, because they matter when contractors and Aramco review a supplier.

A practical order of work

  • Gather and renew corporate documents so none expire during review.
  • Build the equipment register with certificate numbers and expiry dates.
  • Prepare a short HSE and quality summary and a list of operator and rigger approvals.
  • Submit the Aramco registration questionnaire for the right supplier category.
  • Approach contractors with your vendor pack in parallel, because their approval is often the faster route to work.
Planning information, not legal advice. Requirements change, so confirm the current list on Aramco's supplier page.

Mistakes that slow a registration

Typical delays are expired certificates, inconsistent company names across documents, an unsigned code of conduct acknowledgement and registration under the wrong supplier category. Check every document name and date before you submit. Keep a single owner inside your company for the registration, so questions from the reviewer get a same-day reply. If the reviewer asks for clarification, answer in writing and keep the thread.

Registration is not the same as site approval

Even a registered supplier still needs equipment inspection, operator approval and a gate pass for each site visit. Registration opens the door to being considered; the gate checklist decides whether a specific machine can enter. Prepare for both from the start.

Treat registration as a long-term investment rather than a one-off form. Review your documents every quarter, update your equipment register after each inspection and keep a short company profile ready, so you can answer a contractor's vendor request on the same day it arrives.

Can a rental company work at Aramco sites without registering?

Many rental companies work through contractors, and the contractor decides which suppliers it accepts. Registration still strengthens your position, so many contractors ask for it.

Do you accept vendor registrations from equipment owners?

Yes. Our own vendor registration page collects company details and documents from equipment owners, operators and transport partners.
